Setup Gmail app on Android phones for IMAP or POP3 email accounts

After your email service has been migrated to our private cloud, you may wish to setup your Android phone for use with our email service.  Android devices use Gmail app as the default app for emails.  Follow the instructions below to add a new account to your Gmail app.

Step #1:  In the top right corner of your gmail app, tap on your account.  There will be a prompt.  Choose the Add another account option.  On the next page, choose Other.


Step #2:  Enter your email and press Manual Setup.


Step #3:  For better synchronization between multiple devices, choose Personal (IMAP) option.


Step #4:  Your username should already be auto-populated with your email address that you entered in Step #2.  After you enter your password in the Passsword field, specify the IMAP Server name.  On the next page, you will asked to enter in your email address / username and password again.  You will also need to enter in the SMTP (outgoing) Server name.
To acquire a mail server specific to your organization, please open an IT request using instructions at the top of this page.
Your Incoming and Outgoing (also known as SMTP) server name may resemble mail.example.com

If you are given the option to enter port numbers, choose from the following:
  1. Secure Incoming IMAP Port - 993 <--- This is what you should try first for incoming server port
  2. Secure Incoming POP3 Port - 993
  3. Secure Outgoing (SMTP) Port - 465
  4. Insecure Incoming IMAP Port - 143 <-- This is what you should try if secure incoming port doesn't work for you.
  5. Insecure Incoming POP3 Port - 110
  6. Insecure SMTP Port:  587 or 25

       

Step #5:  Set your sync frequency (how often your phone checks for new emails) and other options on the next page.
A good compromise between how often your phone checks for new emails and battery life is setting your sync frequency to every 5 minutes.


Step #6:  Lastly, set your name on this email account.  This is the name that your recipients will see when you send them an email from this phone.
